Your wedding is probably the most important day in your life. You want everything to be perfect. That is why finding the perfect venue is the most significant aspect to planning your wedding. It is an exciting part of wedding planning, but choosing a great venue is also one of the things that take a considerable amount of time. You need to consider many things before deciding on which location to choose. First, you need to locate the wedding venues available in your area, you need to check if it is available on your wedding date and you need to visit the venue. Before choosing a venue you need to consider the following:

1.) What kind of ceremony you will be having. You need to decide where you want to get married. If you are planning to have a church wedding you need to find a venue within a reasonable distance from the church where you plan to get married. If you are planning on having the ceremony at the venue where your reception will be then you will have to meet with the wedding co-ordinator to discuss your arrangements.

2.) The number of guests you plan on inviting. This is important because you need to choose a location that can comfortably hold all your guests. You need to check the venue’s maximum dining capacity. You want your guests to be able to enjoy themselves and sit comfortably during the ceremony and the reception.

3.) You need to consider the location. If it is an out of town wedding or in a remote location where your guests will be travelling from different parts of the country, you need to make certain arrangements to make sure they do not get lost.

4.) Check if the venue has a wedding co-ordinator. This can make your wedding planning easier. They may be able to recommend good suppliers and they are the ones who know what works best with the venue’s layout.

5.) You also need to check if the venue has an in-house caterer or if you need to hire caterers. You need to be able to find a caterer that is familiar with the site. You also need to check with the management if there are added to costs for the catering tents or equipment.

6.) Check the venues amenities like parking, toilets, access and even their staff. Check if there is parking at the location since you need to inform your guests if the parking happens to be restricted so they will know in advance if they need a taxi etc. If parking is restricted it is advisable that you should provide transport for your guests.

7.) Lastly, make sure you ask what you can and cannot do at the wedding venue. There may be activities that they do not allow or that they charge extra for. You do not want to be stuck paying for a very expensive bill that you would have otherwise avoided had you asked the necessary questions.

Can you describe your role as a wedding planner?

Being a Wedding Planner can be desc ribed in two words “organized mayhem”, it’s a role that is never dull, never repetitive, no two couples are alike, and never 9-5. I source suppliers, venues, anything to do with a Wedding, organize appointments to see said suppliers, manage budgets, guest and gift lists for engaged couples assisting them with whatever they want to make their Wedding Day the way they want. I do as little or as much as they want for a stress free Wedding from Engagement to Honeymoon and Beyond, whatever their budget.

What makes you different from your competitors?

I don’t really know, if I differ that much from them.

How do you ‘sell’ your services to brides to be?

There is a misconception that wedding planners are only for celebrities, are very expensive, controlling and will blow your budget and spend, spend, spend, whereas it’s the exact opposite, planners are for whoever wants one, you hire a florist for your flowers, a photographer for your pictures etc, why not a planner to plan? With their contacts within the Wedding industry wedding planners, like myself, can in most cases save the couple money, time and stress.

What is your favourite part of the job?

Oh my, I love all aspects of my job as a wedding planner, the buzz when meeting new couples, getting caught up in their excitement as we are discussing what ideas they have for their Wedding, seeing those ideas coming to life, the look on their faces when it all comes together, even the set-backs and inevitable problems that all weddings have can give me a thrill, trying to sort them out and the relief on your Brides face when you do. Getting to know you couples, becoming friends with them sharing all their emotions and finally their faces beaming on their Wedding Day is the icing on a very enjoyable journey, oh that sounds soooooooooooooooo cheesy, but it’s how it is for me.

What is your least favourite part of the job?

After what I’ve answered for the last question, I don’t have one except maybe saying cheerio to a couple after their Wedding Day.

Can you tell us of a memorable wedding you have worked on?

All weddings are memorable for one reason or another, in their own way, all have their own special moments. It’s hard to pick one over the other, so I’m not.

How do you advertise your business and what works best for you?

There are dedicated magazines, apps and directories, like yourselves which wedding planners can advertise to say nothing of the internet and of course there are the shows and at one point or another I have advertised in one or all. The fairs are better as you get to talk and interact with couples and they get to see you and interact with you.

How do you ensure clients stay within their budgets?

The majority of couples are actually pretty good at keeping within their budget, must be a Scottish thing. It’s gone over at the beginning at their consultation stage and we discuss their expectations and what are their priorities i.e. what they want to spend the most money on and give them a fair idea of what they can expect to pay for things it’s done discreetly, I don’t lay down the law, it’s there day I just advise and suggest but in the end it’s their decision.

Do you plan weddings abroad? Do you plan weddings here for those currently living abroad? How do these differ from the ‘norm’?

At this moment in time I don’t but might now after this question.

How do you monitor your success?

To be honest I enjoy the role as a Wedding Planner that much that I don’t monitor as such, I suppose I’m only as successful as my last Wedding!!!

What have been your main achievements?

I don’t see myself as having any, in the present climate I suppose having a job is an achievement in itself, and the fact that I do something that I enjoy is a bonus, it has been hard work but well worth it in the end.

What one piece of advice would you give to brides/grooms to be reading this interview?

The one piece of advice I’d give Brides and Grooms to be reading this interview is to enjoy every minute, it’s such a roller coaster time leading up to your Wedding Day, and the actual day will go by so fast, if your budget can stretch to it hire a videographer as I can guarantee there will be things you’ll see when watching it back that you will not have seen or remember.

Are you wondering what exactly is a wedding planner, and why do I need one?

1 – Guiding Hand through the process

Some people think wedding planners are there to take over the day, this isn’t true, I’m here to help guide you through and to be as involved or as uninvolved as you want, I wont be barking orders, I want to help you make the day a day to remember with your friends and family, whether in the UK or abroad.

2 – Experience

My wedding experience means I can think of unique ideas for your day, and also help you keep on track with things such as etiquette advice, I produce a inspiration board if needed to show you how your ideas will pull together, I can also take an idea like “Winter Wonderland” and with the aid of the board, show you how this can be done with style and unique flair.

3 – Someone to talk to when no-one else wants to listen

We’ve all done it, when you are newly engaged all you want to do is talk about weddings, when the big day is upon you, you worry about things that you may have missed, or what you need to do on the day, seems to clear a room sometimes, but I love to talk about weddings, not just the good, but the bad also, we all have fears on the build up, but I’m here to listen, and to help, anytime day or night, I’m there if you want to pick up the phone, or if you fancy a chat over a coffee somewhere.

4 – Stress Free, honest and calming influence

Even when things don’t seem to be going to plan, I’m here to help work around any issues that may arise and to keep you calm on the build up to your big day. I’m open and honest about everything, If I feel that something isn’t going to work, I’ll tell you, I wont wait till the day to say “Well I thought it wouldn’t work anyway” I help guide you through, There’s no problem that cant be overcome, take a big breath and relax, I’m here working for you.

5 – Budgeting advice

Although it would be fantastic to have a unlimited amount of money to spend on your day, the majority of people have a idea of what they can realistically afford to spend, many would love to ideally be under budget rather than over, your budget does not have to restrict you, a wonderful day can be planned for as little or as much as you want. For as many guests or for as few a guests as you want, I deal with all types of budgets, and can help you stick within budget, and also help you plan your budget effectively to get everything you dreamed of.

6 – Helping you pick the perfect suppliers for your day

There are a wealth of suppliers out there, who want to be part of your day, I match you with the suppliers who will be best suited, who I trust, and who I know will help work as a team to make the day perfect. I never take a commission from any suppliers, I recommend them as I’ve met them, and I know they will not let you down.

6 – Help to negotiate with suppliers

I have many recommended suppliers, and I always try to get the best deal I can for you, many of them I deal with on a daily basis, also I can help you work around packages they offer, it may be you want something a little different, I have years of negotiating experience, and I’m here to use that to your advantage.

7 – Mediator

Sometimes I’m needed most when people have so many ideas on how the day should be, how many guests from each side of the family should attend, weddings can sometimes cause an unease between families, but I am here to help, many times just so you can use the phrase “Colette thinks it would be best if….” As apposed to….”I don’t want to do that……”

8 – On the day help

Some brides/grooms relish the idea of planning the day, they enjoy organising and keeping things on track, this is great! But on the day you don’t want to have to worry about things arriving, things keeping to time, this takes away from you enjoying the day with your friends and family. I’m here to be a main point of contact for the bridal party with any questions they may have, I’m here to ensure everything runs smoothly and to plan, I can deal with any emergency, my rescue kit is with me on the day and it contains everything we may need…even down to having a fake cake!

9 – Working together with all the suppliers, to make your day perfect

The best thing about using the right suppliers is that we will work as a team, we all work together and help each other, and we all know exactly what we need to do, where we need to be, and how to conduct ourselves on the day, from the florist to the bridal store, we make the full experience one to remember, from the first moment you ask me to be part of the day, I’m working for you, with the help of excellent suppliers, to make the day both memorable and seamless.

10 – But you are just for the rich and famous right?

Wedding planning isn’t as expensive as you may think, and along with everything that I do, I charge a set day fee, and I tailor my full services to suit you, not the other way round. There may be just elements you want help with, or just help on the day. I always offer a free first consultation which is as short or as long as you need, I’m always upfront about costs, so please just drop me an email info@allwrappedupevents.co.uk  or pick up the phone (or text!) 07912501159.

Stress free wedding planning begins here I hope you’ve found this useful, and I hope to meet with you to discuss how I can help you make your day everything you’ve ever dreamed of.

Well the wedding fair has been well advertised, brides are coming through the door, how do you get bookings now? How shall you make the wedding fair a success for you?

The most important thing really! Smile, look approachable.

Don’t sit down. Don’t read a newspaper and never so much as glance up. Move in front of your stand now and then. Even better, stand to the side, to make your table/stand easier to be seen.

Don’t jump in front of every visitor who comes near your table, give them a few seconds, then you can start talking. Don’t follow them around the room.

These are good to hand out. It’s a reminder to the visitor of who they saw when they go home and look over all the materials. You can arrange to have them in the ‘goody bags’ which are given out to visitors.

It’s a fab opportunity for visitors to see your work up close and to see the person behind the brand. Some ideas to consider are having photos of your work at a wedding, and free samples attract people to your table.

Our friends at Easy Wedding Search have examples of wedding fair stands that may give you some inspiration: http://www.easyweddingsearch.com/pro/wedding-fair-stands/

We asked some brides to be and these are some answers we got:

• This man was miserable, really grumpy and uninterested. He clearly didn’t want to be there.

• They’d have to be quite smartly dressed for me to want to use them

• I didn’t go with a woman who did dresses. She smelled of smoke and I wouldn’t want my dress smelling!

• Good imagery/signage/branding

• A clearly detailed leaflet, so I can contact you after the show

• An offer, of sorts, to entice me

• Freebies!

Give it time! It may take a few weeks, or even a few months before bookings can come in. Let them go home and go over the information. Sometimes the couple have just gotten engaged and are going along for a look. You should still be as helpful as possible, as in a few months time, or even longer, that bride to be might remember that very nice helpful lady.

If nothing else, Wedding Fairs can be a good opportunity to raise your profile within the local supplier community. You can then get your product/service recommended by the very suppliers you meet with at the wedding fayre.

Ask us about The Loch Lomond Wedding Show on 27th February 2011, or the Online Wedding Fair on the 5th March 2011!
